1. Introduction
Solvi Oy (“Solvi”, “we”, “us”, or “our”) respects the privacy of its users and attaches paramount importance to the protection of their personal data. This Privacy Policy elucidates the methods by which Solvi collects, uses, stores, and shares personal data obtained through its website and mobile application (collectively, the “Platform”). This policy applies to all natural persons using the Platform, including customers purchasing services and providers offering services (“User”, “you”, or “your”).
Solvi is an undertaking registered in Finland (Company Name: Solvi Oy, Business ID: [Your Business ID Here]) and operates in compliance with applicable data protection legislation, primarily the General Data Protection Regulation (GDPR) of the European Union. Solvi is the data controller for the processing of your personal data. Contact information for Solvi is provided at the end of this document.
Please read this Privacy Policy diligently. By registering on, accessing, or using our Platform, you acknowledge and agree to the terms of this Privacy Policy. For specific data processing activities (e.g., sending marketing communications or the use of certain cookies), we may request your explicit consent separately; in such instances, your consent is expected to be given by an unambiguous affirmative action. Should you not agree with any provision of this policy, you are kindly requested to refrain from using our Platform or to communicate your reservations to us.
2. Personal Data Collected
Solvi collects various categories of personal data from its Users for the purpose of providing the Platform services. The personal data processed may consist of information directly provided by you, data obtained from your use of the Platform, and, to the extent permitted by law, data obtained from third-party sources. The principal types of personal data we collect are:
● Identification and Contact Information: Data that serves to identify you or to communicate with you, such as name, surname, date of birth (solely for age verification purposes and if necessary), email address, telephone number, and postal address.
● Account Information: Username, password (passwords are stored securely using cryptographic methods), account creation date, profile photograph (if optionally added), and preferences in your account settings.
● Customer Transaction and Request Information: Information pertaining to service requests made by you as a Customer via the Platform (type of service requested, date and time, address or location where the service will be performed, special notes, etc.), your past reservations, transaction history, evaluations, and comments.
● Service Provider Information: Professional and corporate information provided by you when registering as a Service Provider (business name or name-surname, company/business identification number if applicable, tax number, prepayment tax registration status, professional license or certification details, service categories offered, experience and competence information, and, if extant, professional liability insurance policy details). Additionally, service descriptions in your profile, pricing information, and records of services previously rendered.
● Payment Information: For Customers, data related to financial transactions, such as amounts paid during service purchases, preferred payment method, transaction times, and status. Important Note: Sensitive payment information, such as credit/debit card numbers, expiry dates, and CVV codes, is processed directly by a third-party payment service provider, such as Stripe; Solvi does not store this sensitive data on its servers. However, limited information, such as the success status of the payment transaction, transaction reference number, the bank/payment network to which the card belongs (e.g., Visa, MasterCard), and a partially masked card number (e.g., the last four digits), may be transmitted to us.
● Financial and Tax Information (Service Provider): Records pertaining to the earnings and payments of Service Providers (amounts earned via the Platform, commission deductions, payment dates), identification number/VAT number if required for invoicing, and bank account details (such as IBAN). This information is processed for the purpose of remitting payments to you and maintaining legal accounting records.
● Communication and Support Data: Information shared by you when you contact us (via email, support ticket, chat, telephone, etc.) and records of such communications. This includes your support requests, complaints, or feedback, and our responses thereto. Furthermore, correspondence conducted with other Users via the in-Platform messaging feature may also be recorded in our systems (limited to purposes of dispute resolution or quality control).
● Usage Data and Device Information: Technical and analytical data regarding your use of the Platform. For example:
○ Device and Browser Information: Type of device used (PC, iOS/Android phone, etc.), operating system, browser type and version, screen resolution, language preference.
○ IP Address and Geolocation: The IP address from which you access the Platform and the approximate geolocation indicated by this IP address (at city or country level).
○ Log Data: Date and time of your visit to the Platform, pages navigated, buttons or links clicked, errors encountered, time spent on pages, and similar browsing information.
○ Cookie Data: Our Platform may collect information about your usage habits through cookies and similar technologies. For instance, your session ID, preferred language, browsing behavior, referring URL (the page from which you arrived at the Platform), and similar information may be obtained via cookies. (For detailed information, please refer to the Solvi Cookie Preferences Policy and the “Cookies and Analytics” section below.)
● Location Information: Due to the nature of the Service, Customers share the address where they will receive the service, and Service Providers may offer services in a specific geographical area. Therefore, the address or location information you enter when creating a request is also considered personal data. If you grant location permission while using our mobile application, your approximate location may be used instantaneously to display suitable services near you. However, we do not continuously record your device's GPS location without your consent.
● Profile and Preferences: Your settings within the Platform (e.g., notification preferences, cookie preferences), your favorite services, or past searches, which are maintained to personalize your experience, may also be recorded.
The data listed above are predominantly data we collect directly from you. Additionally:
● When a Customer and a Service Provider interact during a service transaction, the parties may see certain data related to each other: For example, upon confirmation of a reservation, the Customer sees the Service Provider's name and profile; the Service Provider, in turn, sees the Customer's name, service address, and contact number. This sharing is performed to the extent necessary for the performance of the service.
● Third-Party Sources: In some instances, we may receive limited information about you from third parties. For example, if a social media login feature (e.g., Google, Facebook) is offered, we may, subject to your permission, retrieve basic profile information such as your name and email from the relevant third party. Likewise, we may receive information from the payment provider regarding the success of your payment or a technical error code. Apart from these, publicly available sources (e.g., company registers, taxpayer lists) may be checked to verify the accuracy of data provided by Service Providers.
Special Categories of Personal Data: Solvi does not intentionally request or process "special categories" of personal data as defined under the GDPR and relevant legislation (such as data concerning race, ethnic origin, political opinions, philosophical beliefs, religion, sect or other beliefs, appearance and dress, membership of an association, foundation or trade union, health, sexual life, criminal convictions and security measures, or biometric and genetic data) from its Users. Please refrain from sharing such sensitive data on the Platform. If you need to share health-related information in your service requests (e.g., your allergy status for a home cleaning service), this is entirely at your discretion and will be solely for the purpose of enabling the relevant Service Provider to render the service appropriately.
Anonymized Data: Your personal data may be anonymized (in such a way that your identity can no longer be determined) and used for statistical purposes. As anonymized data no longer identifies an individual, it falls outside the scope of this Privacy Policy.
3. Purposes and Legal Bases for Processing Personal Data
Solvi processes the personal data it collects for the purposes and within the legal frameworks specified below:
● Provision of Platform Services (Performance of a Contract - GDPR Article 6(1)(b)): Our primary objective is to facilitate service exchange between Customers and Service Providers via our Platform. Your personal data is processed for the execution of fundamental Platform functions, such as the creation of your User account, enabling your login to the Platform, management of your profile page, and creation of requests and submission of offers.
● Reservation and Payment Process (Performance of a Contract - GDPR Article 6(1)(b) and Legal Obligation - GDPR Article 6(1)(c)): We process your data for financial transactions such as collecting payment from the Customer upon confirmation of a reservation, secure processing of payment, and transferring payment to the Service Provider. These operations are necessary both for the performance of the contract and for compliance with our legal financial record-keeping obligations, such as Finnish accounting and tax laws.
● Communication and Information (Performance of a Contract - GDPR Article 6(1)(b)): We use your contact information to provide important notifications regarding your account or transactions (e.g., reservation confirmation, service reminder, password reset) and to respond to your customer service inquiries.
● Enhancement of Service Quality and Personalization (Legitimate Interest - GDPR Article 6(1)(f)): We analyze your usage data to improve your user experience, enhance our Platform, and provide you with more relevant service recommendations. In these processing activities, we observe the principle of proportionality with your fundamental rights and freedoms.
● Marketing Communications (Explicit Consent - GDPR Article 6(1)(a)): Subject to your prior explicit consent, we may send email newsletters or notifications to inform you of developments, campaigns, or new features related to Solvi’s services. You may withdraw this consent at any time.
● User Comments and Reviews (Legitimate Interest - GDPR Article 6(1)(f)): We process relevant data to ensure the reliability of the evaluation system on our Platform, to publish comments made, and to moderate them when necessary.
● Security and Fraud Prevention (Legitimate Interest - GDPR Article 6(1)(f) and Legal Obligation - GDPR Article 6(1)(c)): We may use your data to ensure the security of the Platform and to prevent and detect fraud. This is necessary for both our legitimate interest in securing our service and for potential legal obligations.
● Legal Compliance (Legal Obligation - GDPR Article 6(1)(c)): We may process or retain your data to comply with legal regulations applicable to Solvi (e.g., requests from judicial authorities, tax audits).
● Corporate Transactions (Legitimate Interest - GDPR Article 6(1)(f)): In the event that Solvi is involved in corporate transactions such as a merger, acquisition, or asset sale, User data may be transferred as part of these transactions. In such a case, the acquiring party will be obliged to adhere to the principles of this Privacy Policy.
● Profiling and Analytics (Legitimate Interest - GDPR Article 6(1)(f) or Explicit Consent - GDPR Article 6(1)(a)): Certain data may be subjected to automated analysis to understand user behavior and preferences. This is not used in a manner that produces legal effects or similarly significantly affects the User; it is solely for the personalization of services or tailoring marketing communications to areas of interest. You have the right to object to profiling activities for marketing purposes at any time.
Withdrawal of Explicit Consent: Where the processing of your data is based on your explicit consent (e.g., for marketing), you have the right to withdraw this consent at any time. The withdrawal of consent shall not affect the lawfulness of processing based on consent before its withdrawal.
4. Use of Cookies and Analytics
The Solvi Platform utilizes cookies and similar tracking technologies. For detailed information, please refer to our “Solvi Cookie Preferences Policy.”
● Definition and Types of Cookies: Cookies are small text files placed on your device via your browser by websites you visit. Our Platform uses strictly necessary cookies, functional cookies, analytical/performance cookies, and, subject to your consent, advertising/marketing cookies.
● Purposes of Use: We use cookies to maintain your session, remember your preferences, analyze Platform usage to improve our services, diagnose technical issues, and, with your consent, display personalized advertisements to you.
● Cookie Management: Upon your first visit to the Platform, you will receive a notification requesting your consent for the use of cookies. You have the right to manage your preferences for all non-essential cookies via the “Cookie Preferences” section on the Platform or through your browser settings.
5. Sharing of Personal Data and Third Parties
Solvi does not sell or rent Users' personal data to third parties without authorization. However, data sharing with certain third-party recipients may occur for the provision of Platform services and compliance with legal obligations:
● Sharing Between Service Providers and Customers: When a service agreement is formed, information necessary for the performance of the service (name, address, contact details) is shared between the Customer and the Service Provider.
● Payment Service Provider: Online payments are processed through secure third-party payment institutions, such as Stripe. Solvi does not store sensitive card information.
● Technical Service Infrastructures: Cloud computing and infrastructure providers (acting as data processors) may be used for hosting the Platform, sending emails, etc.
● Analytics and Advertising Partners: Analytical tools like Google Analytics and, subject to your consent, advertising networks (acting as joint controllers or data processors) may be used.
● Legal and Official Authorities: Data sharing may occur with competent authorities in compliance with a legal obligation or judicial proceedings.
● Consultants and Legal Support: Professional advisors, such as lawyers and accountants, may access data to the extent necessary for the performance of their duties.
● Group Companies and Affiliates: If Solvi is part of a group corporate structure, data may be shared within the group for the execution of business processes.
● Acquiring Party in Mergers or Acquisitions: In the event of a corporate transaction, User data may be among the transferred assets.
Data processing agreements compliant with GDPR Article 28 are concluded with data processors. Users also bear responsibility for the protection of personal data shared between themselves.
6. International Data Transfers
Solvi endeavors to retain User data primarily within Finland and the European Economic Area (EEA). However, your personal data may be transferred outside the EEA, for instance, if third-party service providers (e.g., Stripe, Google) have servers located outside the EEA. In such transfers, appropriate protection mechanisms as required by the GDPR (e.g., Standard Contractual Clauses (SCCs), Adequacy Decisions) are implemented. By accepting this Privacy Policy, you acknowledge that your personal data may be transferred in this manner and that the level of data protection in the countries to which it is transferred may not be as comprehensive as in your own country. Solvi takes necessary measures to protect your data in every transfer.
7. Data Security
Solvi implements appropriate technical and administrative security measures (e.g., encryption, access controls, server security) to protect your personal data against unauthorized access, alteration, disclosure, or destruction. However, it should be noted that no data transmission over the internet or electronic storage method is 100% secure. In the event of a data breach, affected Users and the relevant data protection authority will be notified within legal timeframes.
8. Retention Period of Personal Data
Solvi retains your personal data only for the period necessary for the purposes stated in this Privacy Policy. These periods are determined considering legal obligations (e.g., typically 6 years for financial records under Finnish accounting legislation), contractual requirements, and legitimate interests. Account information is retained as long as your account is active; transaction data for legal periods; analytical data typically for 26 months; and marketing data until you withdraw your consent. Data whose retention period has expired is securely deleted or anonymized.

10. Privacy of Persons Under 18
The Solvi Platform is intended for use by individuals aged 18 and over. We do not knowingly collect personal data from persons under the age of 18. If it is determined that a person under 18 is using our Platform, their account will be immediately terminated, and their data will be deleted.
11. Changes to the Privacy Policy
Solvi may update this Privacy Policy from time to time. Significant changes will be notified via the Platform or by email. Your continued use of the Platform after the updated Privacy Policy becomes effective will signify your acceptance of the changes.
12. Right to Complain and Supervisory Authority
If you are dissatisfied with Solvi's data protection practices or believe that your personal data is being processed in contravention of the GDPR, you have the right to lodge a complaint with the Finnish data protection supervisory authority, Tietosuojavaltuutetun toimisto (Office of the Data Protection Ombudsman – web: tietosuoja.fi), or with the competent data protection authority in your EU country of residence.
